Youth sports Club OS

One operating system for the whole club.

Running a youth sports club should not require six systems, three spreadsheets, and a handful of volunteers holding everything together. MVPLedger connects registration, teams, schedules, families, communications, finance, and compliance so a leader can see the organization and decide what happens next.

What needs my attention?

Your role sees only the club work you are allowed to act on.

Registration reviews are waiting

Review

Submitted registrations that still need a decision.

A facility conflict is on the schedule

Resolve

Two events overlap on the same space.

Household balances need a collections review

Review

Drafts stay unsent until a person approves them.

A staff certification is approaching its date

Open

Compliance stays with the people who support teams.

Illustrative Club Home. Shows the attention list leaders actually open. Not a customer record.
  • Built for multi-team youth sports organizations
  • No per-player MVPLedger fee
  • Role-aware workspaces
  • AI Treasurer included
  • Human approval for consequential actions

The problem

The work is scattered. The club is not.

Registration lives in one system. The schedule lives in another. Payments, the bank, the accountant’s file, and the group conversation live somewhere else. A volunteer is what connects them.

A board member should not need five logins to learn whether the roster, the calendar, and the books describe the same club. That picture should already exist.

Usually separate

  • Registration system
  • Spreadsheets
  • Payment processor
  • Banking
  • Accounting
  • Email
  • Text and chat
  • Calendar
  • Documents

None of these share one roster, one household, or one set of books.

One connected Club OS

One record. Every workspace.

MVPLedger is the operating record for the organization: teams, households, schedules, messages, documents, and the books. People work in the workspace for their role. They do not rebuild the roster somewhere else to get the job done.

  1. 01 · Membership

    Registration, teams, and families

Programs, waivers, tryouts, and offers stay with the households and rosters they create. A player is not retyped into a second system to join a team.

  2. 02 · Daily operations

Schedule, facilities, messages, documents, and compliance

Practices, games, spaces, conflicts, announcements, files, and staff requirements belong to the same club. Coaches and families see the part they are meant to see.

  3. 03 · Club finances

Dues, payments, banking, reconciliation, and fundraising

Charges, collections, expenses, budgets, and campaigns use the same teams and households as the rest of the club. The organization’s own payment and bank relationships still move the money.

  4. 04 · Insight

Development, reporting, and what needs attention

Player development, Morning Brief, Action Center, and board reporting start from live club records. Leaders see the next decision instead of rebuilding a spreadsheet to find it.

Product

See the Club OS, not a feature list.

These are the workspaces a president, treasurer, coach, and family actually open. Each frame is an illustrative product preview of the current application, not a customer record.

Club Home

Start from the work, not a module menu.

Club Home asks what needs attention and what is happening next. Morning Brief summarizes the same live picture. It is advice. The Action Center remains the place a person takes the action.

Morning Brief

Morning Brief

Advisory only. Nothing was changed, approved, matched, paid, or sent.

Illustrative Morning Brief. Advisory only — it does not change, approve, match, pay, or send. Not a customer record.

Finance

Money has its own jobs: collect, spend, reconcile, plan, and report.

Treasurers land on what needs a person, then the cash and receivable context behind it. Forecasts and answers stay underneath those jobs. They do not move money or change dues.

Teams

A coach gets the team, not the club’s books.

The team workspace is roster readiness, schedule, attendance, messages, and development. Assigned-team tools come from a coaching role. They do not grant finance or registration authority.

Families

A household sees its own schedule, payments, and messages.

Family Home asks what the family needs to do today. Registration status, RSVP, documents, and published development summaries stay inside that household’s access.

Registration

Signup, review, tryouts, offers, and roster placement stay connected.

Registrars see which submissions need a decision and which reviews have already started. Accepting a registration is not the same step as placing a player on a roster.

Who it is for

The workspace matches the job.

A coach should not have to learn the treasurer’s books. A parent should not have to navigate an admin console. A board member should be able to review the club without gaining the controls to change it.

Club leaders
Run registration, teams, the schedule, people, and the decisions that keep the organization moving — from one Club Home.
Treasurers
Work dues, collections, expenses, reconciliation, and the explanation the board is going to ask for.
Coaches
Answer what the team needs today: roster readiness, schedule, attendance, messages, and player development.
Families
Register, RSVP, pay, acknowledge documents, and read messages for their own household.
Board members
Review governance notes, finance, published reports, and documents. Operational changes stay with authorized staff.
Accountants
Review transactions, expenses, reports, and exports through accountant access, without becoming a club administrator.

Financial transparency

The books stay with the club.

Dues, payments, and banking stay on the organization’s own payment and bank relationships. MVPLedger is the operating record: what was charged, what was collected, what was spent, what still needs a person, and what the board can review.

AI can explain the books and draft the next step. Approving an expense, sending a collection reminder, matching a bank item, or changing dues remains a human action.

Report

People still approve expenses, send collection reminders, match bank items, and change dues.

Illustrative Money workspace. Labels match finance operations. Amounts are not shown because this is not a customer balance.
Dues and collections
Charges, open balances, and follow-up that a person still approves before it is sent.
Expenses and budgets
Receipts, review, season budgets, and dues planned from those budgets.
Payments
Collected through the organization’s own payment account. MVPLedger does not hold the club’s funds.
Banking and reconciliation
Bank items are matched to the ledger by finance staff. Unmatched items stay visible until a person resolves them.
Audit history
Finance activity stays reviewable instead of living only in someone’s inbox.
Board reporting
Draft, approve, and publish a report. A published report keeps the figures from the day it was saved.
Accountant access
A dedicated workspace for transactions, expenses, reports, and exports.
Optional transparency
The club chooses what, if anything, is published. Household records are not a public page.

Intelligence

Assistance inside the work. Approval stays with people.

AI Treasurer is included because the questions show up inside finance, registration, and Club Home. It is not a separate chatbot the club has to go learn.

Human approval for consequential actions

A brief or an answer does not change a balance, approve an expense, match a bank line, or send a message. Collections outreach is drafted for approval. Reconciliation suggestions stay suggestions until finance staff confirm them.

Morning Brief
Starts the day from the live Action Center and club signals, in plain language.
Ask the Books
Answers questions from the organization’s finance records. An answer does not change a balance.
Collections Assistant
Drafts respectful outreach from real balances. A person approves it before anything is sent.
Reconciliation Review
Explains likely bank-to-ledger matches. Finance staff keep the final match.
Expense Review
Surfaces unusual amounts, missing receipts, or policy exceptions. It does not approve or reject an expense.
Board Reporting
Turns current operations and finance into a board-ready summary. Publishing stays a human step.

Migration

Bring the club you already run.

Upload a CSV, or the export you already have from PlayMetrics, TeamSnap, SportsEngine, or LeagueApps. MVPLedger stages the file, maps columns, validates the records, and commits them only after an authorized person confirms.

A PlayMetrics transaction export can be recognized from its columns. Other sources are mapped from the file you provide. MVPLedger does not open a live connection to those products, and nothing is written into club records before that commit.

  1. 01 · Upload

Bring the CSV or export you already have. MVPLedger reads the headers and a sample before anything is saved to the club.

  2. 02 · Map

Columns are matched to club records. You answer only when a column is genuinely unclear.

  3. 03 · Validate

The import shows what it found and what still needs a correction. Unresolved rows are not quietly skipped into the club.

  4. 04 · Commit

Nothing is added until you confirm. The commit is controlled, so a failed import does not leave part of the file behind.
